Think reference library, not perfect memory
A general-purpose AI may not know your current policies, service details or internal procedures. A knowledge system can search approved material and provide the relevant passages to the AI when someone asks a question.
The system is not automatically retraining a model on all of your documents. It is retrieving information for the current task. Provider retention and processing still need explicit review.
What the workflow looks like
- A user asks a question.
- The system checks which sources that person is permitted to access.
- It retrieves relevant material from those sources.
- The AI prepares an answer using the retrieved context.
- The response includes references when available, or admits that sufficient support was not found.
Useful business applications
Teams can search approved standard operating procedures, manuals, training material and service documentation. An employee might ask which steps apply to a particular internal process and open the original source to verify the answer.
These are potential applications, not evidence of a particular client's results. A pilot should test your real information structure and vocabulary.
Permissions are part of the product
An executive document should not become visible to all employees simply because it is searchable. Access controls need to follow the source material through retrieval and answer generation. Deleted or outdated information must also be removed or refreshed in the search layer.
Separate public support information from private company files. Decide who can approve new sources and who is responsible for their accuracy.
RAG is not a guarantee against mistakes
A system can retrieve the wrong passage, miss an exception or misinterpret what it found. It may also encounter conflicting or outdated sources. Test realistic questions, ambiguous questions and questions the material cannot answer.
Useful behavior includes saying “I don't have enough approved information,” citing the source and directing the user to a responsible person.
How is it different from fine-tuning?
RAG supplies reference information at answer time. Fine-tuning changes model behavior through additional training. They solve different problems and may sometimes be combined. For changing business knowledge, start by examining retrieval and information governance rather than assuming model training is necessary.
