A conversation is not the whole job

A chatbot can explain a process. An agent can help move that process forward by using tools. For example, an agent might read a new inquiry, identify missing information, prepare a CRM entry and draft a response for someone to approve.

That does not mean every task should be delegated. The useful question is not “How autonomous can it be?” It is “Which specific work can it complete reliably within boundaries we understand?”

What an agent needs

  • A defined task: a clear starting point and an observable completion condition.
  • Approved information: relevant, current business knowledge rather than unrestricted access to everything.
  • Tools and permissions: only the actions necessary to do its job.
  • Decision boundaries: rules for when it must stop, ask a question or hand work to a person.
  • Evaluation: examples that check both useful behavior and failure cases.

A practical sales example

Consider a professional services company receiving website inquiries. A bounded agent can summarize the request, compare it with a documented service catalog and prepare follow-up questions. It can suggest a qualification category for review. A person still approves pricing, promises and external commitments.

This is an illustrative workflow, not a claim about a particular client or measured result.

When ordinary automation is better

If every input fits a predictable pattern and every next step is known, a rule-based workflow may be simpler, faster and easier to maintain. AI becomes useful when work involves interpreting unstructured information. Some workflows combine both: fixed rules for moving records and AI for preparing a summary.

Questions to ask before building

  1. What is the one task this agent should complete?
  2. Which sources can it read, and which actions can it take?
  3. What happens when information is missing or conflicting?
  4. Which actions require human approval?
  5. How will the team detect mistakes and stop the system?
  6. Who maintains it when software or business rules change?

Start smaller than you think

A useful pilot focuses on one workflow, realistic examples and an accountable owner. Expand only after measuring task completion, review effort, errors and operating cost. A polished demonstration is not evidence of production reliability.
